Automated reminders are the single most effective way to reduce no-shows. Meetlr sends timely notifications to both you and your guests throughout the booking lifecycle.
The Notification Lifecycle
A typical booking triggers the following notifications:
- Booking Confirmation — Sent immediately to both host and guest when a booking is created
- Pre-Meeting Reminders — Sent at configured intervals before the meeting
- Post-Meeting Follow-Up — Optional email sent after the meeting
Configuring Reminder Timing
Navigate to your event settings and open the Notifications tab. You can configure multiple reminder intervals. The most effective combination is:
- 24 hours before — Gives guests time to prepare or reschedule if they cannot make it
- 1 hour before — A final prompt that ensures the meeting is top of mind
Enable or disable each interval independently based on your preferences.
Reminder Content
Each reminder email includes the essential meeting details: event name, date, time displayed in the guest's timezone, location or video meeting link, and links to reschedule or cancel. This ensures guests have everything they need to join the meeting without searching for earlier emails.
Host Notifications
You receive notifications when new bookings are created, when guests cancel or reschedule, and when a booking is approaching. Manage your notification preferences from Settings > Notifications to control which emails you receive.
Impact on No-Shows
Studies show that automated reminders reduce no-shows by 29 to 39 percent. The 24-hour reminder is the single most impactful interval. By enabling reminders on all your events, you protect your schedule and revenue with zero ongoing effort.
Tips
- Always enable at least the 24-hour reminder on every event
- For high-value meetings, add a 1-hour reminder as well
- Review your no-show rates periodically and adjust reminder timing if needed
