By default, Meetlr sends booking emails from its own servers. For a more professional touch, you can configure a custom SMTP server so emails come from your own domain, and customize the email templates to match your brand.
Why Use Custom SMTP?
Sending emails from your own domain offers several advantages:
- Professional appearance — Emails come from you@yourdomain.com instead of a Meetlr address
- Better deliverability — Emails from your domain with proper DNS records are less likely to land in spam
- Brand consistency — Every touchpoint reinforces your brand identity
- Reply handling — Replies go directly to your inbox
Configuring SMTP
Navigate to Settings > Email in the sidebar. Under the SMTP Configuration section, enter your SMTP server details:
- SMTP Host — Your email server address (e.g., smtp.yourdomain.com)
- Port — Usually 587 for TLS or 465 for SSL
- Username — Your SMTP authentication username
- Password — Your SMTP authentication password
- From Email — The email address that appears in the From field
- From Name — The display name that appears alongside the email address
Click Test Connection to verify your settings. Meetlr sends a test email to confirm everything is working before saving.
Customizing Email Templates
Under Settings > Email > Templates, you can customize the content and appearance of every email Meetlr sends on your behalf. Available templates include:
- Booking Confirmation — Sent when a booking is created
- Booking Reminder — Sent before the meeting
- Cancellation Notice — Sent when a booking is cancelled
- Reschedule Notice — Sent when a booking is rescheduled
Template Variables
Templates support dynamic variables that are replaced with actual values when the email is sent:

Branding Your Emails
In addition to the template content, you can add your logo, set brand colors for the email header and buttons, and add a custom footer with your business information. This ensures every notification email feels like an extension of your brand.

- Test every template after customizing by creating a sample booking
- Keep email content concise — include essential meeting details and clear action buttons
- Set up SPF, DKIM, and DMARC records for your domain to maximize deliverability
- Include your cancellation policy in the footer of confirmation emails
- Use the preview feature to see how emails render before saving changes
