Configuring Email Notifications

Configure confirmation emails, automated reminders, and custom notification timing to keep guests informed and reduce no-shows.

Email notifications are your first line of defense against no-shows and miscommunication. Meetlr sends automated emails at key moments in the booking lifecycle, and you can customize when and what gets sent.

Types of Notifications

Meetlr sends several types of automated emails:

  • Booking Confirmation — Sent immediately when a guest books, containing date, time, location, and any meeting links
  • Reminder Emails — Sent before the meeting to ensure the guest remembers
  • Cancellation Notice — Sent when a booking is cancelled by either party
  • Reschedule Notice — Sent when a booking is moved to a different time

Configuring Reminder Timing

Navigate to your event's settings and open the Notifications tab. Here you can configure when reminder emails are sent. The recommended setup is:

  1. 24 hours before — Gives the guest time to prepare or reschedule if needed
  2. 1 hour before — A final nudge right before the meeting

You can enable or disable each reminder independently and adjust the timing to suit your needs.

What Guests Receive

Every notification email includes the essential meeting details: event name, date, time in the guest's timezone, location or meeting link, and your contact information. Confirmation emails also include links to Reschedule or Cancel the booking, giving guests self-service options.

Host Notifications

You also receive notifications when bookings are created, cancelled, or rescheduled. These can be managed from Settings > Notifications in your dashboard. You can choose to receive emails for every booking or only for specific events.

Tips

  • Always enable at least one reminder — it reduces no-shows significantly
  • The 24-hour reminder is the single most effective timing for reducing missed meetings
  • Include the meeting link prominently in all notifications so guests can join easily
  • Test your notifications by booking a test meeting with yourself
