Board automation takes the manual work out of managing your workflows. Instead of manually moving cards and updating statuses, you can set up rules that trigger automatically based on booking events and card changes.
How Automation Works
Automation rules consist of two parts: a Trigger (the event that starts the automation) and an Action (what happens when the trigger fires). When the trigger condition is met, the action executes automatically.
Setting Up Automation Rules
Open your board and click the Automation icon in the top toolbar. Click Add Rule to create a new automation. Select a trigger from the available options, configure any parameters, then select an action.
Available Triggers
- New Booking Created — Fires when a guest books any event
- Booking Cancelled — Fires when a booking is cancelled
- Booking Completed — Fires when a meeting date passes
- Card Moved to Column — Fires when a card enters a specific column
- Due Date Reached — Fires when a card's due date arrives
Available Actions
- Create Card — Add a new card to a specified column
- Move Card — Move an existing card to a different column
- Send Notification — Send an email or in-app notification
- Update Card — Change a card's labels, assignee, or due date
- Archive Card — Archive a card automatically
Example Workflows
Here are practical automation examples:
- Auto-create lead cards — When a new booking is created, create a card in the "New Lead" column with the guest's information
- Move on completion — When a booking is completed, move the associated card from "Scheduled" to "Follow Up"
- Notify on cancellation — When a booking is cancelled, send a notification to your team
